Your details, looked after

What we collect when you ask us for help, book a job, pay or sign in, what we do with it, who else sees it, and how to have it removed.

1. Who is responsible for your information

Prosol Plumbing And Solar (Pty) Ltd, trading as ProSol Plumbing & Solar (registration 2012/213687/07), 2 Rand Street, Plankenbrug, Stellenbosch, 7600, South Africa, is the responsible party for your information under the Protection of Personal Information Act 4 of 2013 (POPIA).

Our Information Officer is Jean Malan Lombard, our director. For anything in this policy, contact us at malan@prosolplumbing.co.za, WhatsApp or 081 559 2180.

2. What we collect

Only what the job needs:

  • When you ask for help or a quote: your name, phone number, email, the address of the job, what is wrong, anything you type about it, and any photo you choose to send. If you allow it, your phone’s location, so we can find the property.
  • When you sign in with Google: your name, email address and profile picture, as Google gives them to us. We never see your Google password.
  • When we do work for you: dates, what was done, the plumber who did it, quotes, invoices, payments and messages about the job. The plumber may take photos of the work on site.
  • When you pay by card: we send Stitch, our payment provider, the amount, your job number as the reference, your name, and your email address and phone number if we have them. You type your card details into Stitch’s own secure payment page, never into ours. Stitch tells us whether the payment went through, the amount, the date and its payment reference. Your card number never reaches us, and we never store it.
  • When you offer us equipment to buy: the photos and details you send, and how to reach you.
  • Visit counts. We count visits to this site ourselves, with no cookies and no outside analytics company. For each page opened we keep the page, the site you came from (its address only), any campaign tag in the link and whether you arrived from an ad, the kind of device and its language, how long the page was open, how far down it was read and which parts of it you looked at, how fast it loaded, the buttons and links you tapped, which steps of our enquiry forms you reached, and whether you sent one or tapped WhatsApp, phone or email. We also keep the province and city your internet connection is in, looked up from your IP address at the moment of the visit; the IP address itself is not kept (location data by DB-IP, db-ip.com, CC BY 4.0). A random number, gone when you close the tab, ties the pages of one visit together, and a yes/no note in your browser tells us whether you have visited before. We do not keep anything that identifies you, and the counts never include what you type into a form or into WhatsApp. We use them only to see which pages, sources and areas work.
  • How you found us, with your enquiry. When you send us an enquiry from this site, we note with it how you found us: the site you came from, any campaign tag or ad, the page you arrived on, how many pages you read and for how long, and a short reference such as P-4F2KQ. The same reference is added to the end of a WhatsApp message you start from this site, so we can match your message to that visit. We use this to see which of our pages and listings bring in work.

Giving us your details is voluntary, but without a way to reach you and the address of the job we cannot do the work. The Value-Added Tax Act and the Tax Administration Act require us to keep the details on invoices and payments.

3. Why we use it

  • To do the job you asked for: reply, quote, book a plumber, send them to the right address, invoice and take payment. Our agreement with you needs this.
  • To keep you posted on WhatsApp about your booking: that we are on the way, that a quote is ready, that a payment arrived.
  • To run your account: your past jobs, your saved addresses, and forms that fill themselves in.
  • To meet the law: tax invoices and accounting records we are required to keep.

We never sell your information, and we send marketing only if you asked for it. Tell us to stop any message and it stops.

4. If you sign in with Google

We use your Google name and email to sign you in and to find your history with us, and for nothing else. We never use it for advertising or sell it, and only the providers below who run the sign-in and store your account ever see it. We never post anything to your Google account.

5. Who else sees it

These service providers run parts of the business, and each gets only what its part needs:

  • Supabase: our database and sign-in service, which stores your details and job records.
  • Zeed Studios: built and supports this website and the systems behind it, and hosts the servers they run on.
  • Anthropic (Claude): helps our office write up notes and draft quotes, which can include the description and photo you sent. It does not train its models on your information.
  • Google: sign-in, the map on this site (only once you accept it), fonts, and the calendar our plumbers work from.
  • Stitch: takes card payments for us. It receives the payment details we send it (the amount, the job reference, your name, email and phone) to process your payment on our behalf. The card details you type into its payment page are handled by Stitch under its own privacy notice, which its payment page links to, and under the card schemes’ security standard (PCI DSS).
  • WhatsApp (Meta): messages about your job.
  • Our accounting software and bookkeeper: invoices and payments, for our books and tax returns.

Some of these providers store or process information outside South Africa, including in the United States and Europe. Section 72 of POPIA allows this where the recipient is bound to protect it at least as well as POPIA does, and these providers commit to that.

6. How long we keep it

  • Jobs, quotes, invoices and payments: five years after the job, because tax law requires it.
  • An enquiry that did not become a job: up to two years, then we delete it. Sooner if you ask.
  • Your account: until you ask us to close it. After that we keep your job history only as long as the line above requires.

7. How it is protected

  • The site is served over HTTPS only, so everything you send travels encrypted.
  • Card details are typed into Stitch’s secure payment page, never into ours, and we never see or store a card number. The terms explain how online payments are kept safe.
  • Each customer’s account can read only that customer’s own jobs and addresses, and the database itself enforces that.
  • Each staff member signs in with their own Google account from a fixed list. Nobody shares a password.
  • If we ever learn that your information has been exposed, we will tell you and the Information Regulator.

8. Your rights

Under POPIA you may, at no charge:

  • Ask what information we hold about you, and get a copy.
  • Have anything wrong or out of date corrected. You can change your saved addresses yourself in your account.
  • Have your account closed and your information deleted, except what the law requires us to keep.
  • Object to any use of your information, including messages.
  • Complain to the Information Regulator.

Send requests to malan@prosolplumbing.co.za, WhatsApp or 081 559 2180. We reply within 30 days, and may need to confirm it is you first. Our PAIA manual sets out the formal route for requesting records.

The Information Regulator (South Africa): inforegulator.org.za, enquiries@inforegulator.org.za, 010 023 5200.

9. Cookies

This site keeps a little on your own device so it works, counts visits without cookies, and loads the Google map only once you say yes. The Cookie Policy has the details.

10. Changes

If we change how we use your information we will update this page and the date at the top. For a change that matters, we will tell you before it takes effect.
